Hello

Lasst Tuesday, an email has been sent to all independent teams and National organising committees (NOC, for countries with a national qualification). Its content is as follow. I invite you to contact your NOC if necessary.

Best regards
veronique

Dear friends,

I have the pleasure to confirm you the information given on April 27th: the finale of Eurobot 2011 will take place in Astrakhan from the 28th of June to the 2nd of July.

The NOC Eurobot Russia and the Astrakhan region are the local organisers of the 2011 final. They intend to propose an attractive program, as well as to ease the participation of everyone. Like for all past editions, I’m sure it will be a great event and I thank them for their involvment.

In addition to free accommodation and food for 5 persons per team, they will do their best to help you with visa and customs issues. In the very coming days you will receive a letter with much more information..... and a form to send back so that they can prepare your trip and your stay.

They are also ready to negotiate with airlines: we do not know what could be the success of such a negotiation, but to have some chance of success they need "numbers" as soon as possible. That's why I invite you to answer the 5 following questions (do not hesitate to add comments, if you think it could be useful):
*) At minimum, how many people will come to represent your team (participants and supporters) / your NOC?
*) What is the most probable (or average) number of people that will come to represent your team/NOC?
*) At maximum, how many people will come to represent your team (participants and supporters) / your NOC?
*) From witch main airport (in your country or in a close country) these persons plan to leave?
*) Ideally, on what day do you plan to arrive and return (accomodation will be proposed at least from the 27th to the 3rd)?

Regarding to meet you in Astrakhan,

Véronique Raoul
President of Eurobot association

I think that depends strong on the price of the flights. It's a vicious circle :-?

Veronique, thank you for bringing a bit light in the dark ;)

Hello

That's because we know that flight costs are going to influence the number of participants that we asked you min, max, average..... to try to exit the vicious circle :-)

Sincerely
veronique

Hi,

We have quite unexpectedly managed to nominate onto finals. We are really doubtful about this years finals. Could other nominated teams comment whether they are coming to the event? We found out that only flight tickets exceed our whole budget on the robot, so we would like to know, if it is worth the money.

Regard,
Tomas Novak (CZ)

Dear Tomaz,

First congratulations for your success.

Regarding your specific question, I can't answer for all teams
Though, following the email send to teams last week, it seems participants are planning to come.
I'm sure your national organising committee (NOC) will quickly send you more info. As said to independent teams and NOC last week, Russian committee is trying to find solution to ease the journey, including best prises on tickets. To negotiate, they need to know min/max people coming from each country.

Best regards
Veronique

Hello, you still have no information about any reduction in flights?

Currently we do not find tickets round trip for less than 500 €. So for a team of 5 persons, the fare is 2500 € plus the cost of visas ... It's a bit difficult financially for students.

Best regards
Kapita Féliz (Os inraci)

We are in the same case than K-my.
We are waiting to buy our ticket because without help, not all members will come.... in fact, we are not sure to come without help.

Please let us know as soon as possible, the ticket prizes are increasing....

When starts the homologation or the matches? Are they starting at 28.6. or will they start later (e.g. at the 30.6.)????

We need this information to plan our flights and for the visas - so please give as soon as possible an information.

br

Michael

When will we receive our visas invitations? The whole procedure of getting them can take from 10 up to 30 days, so it's really the last moment...

According to preliminary time'plan homologation starts at 29.06.
But it will be more convinient to arrive at 28.06, because the only one day is indended for homologization.

Don't worry - typical length of obtaining Russian visas is not more than 10-12 days.
We have same problems with the Schengen visas. So it´s sad but true.
